Troubleshoot missing work items in your plan

There are a few reasons why work items in your plan might not show as expected. This page explains how you can search for missing work items, the most common reasons and how to troubleshoot the causes.

Search for missing work items

If you can’t find a work item in your plan, you can search for it using the search box on the Work in your plan page.

Enter the missing work item’s entire key to see if it’s:

  • in your plan scope

  • removed by a rule or user or

  • included in your plan but hidden by a timeline filter

This search requires the full work item key. Partial matches won’t work.

Common reasons for missing work items:

While Jira refers to a work item’s Resolution field to mark it as complete, your plan refers to a work item’s status. When you’re using a default workflow, the Resolution field is automatically set when a work item is transitioned from the In Progress to Done status. 

If you’re using a custom workflow, this may need to be manually configured. Jira administrators can add a post function on the incoming transition for the status being used to signal a Done work item. Without this post function, completed work items in a custom workflow won’t be displayed in your plan.

Work item isn’t included in the plan’s work sources

Work items in your plan are determined by the work sources. Any work source that’s not included is considered out of scope, and won’t be displayed in the plan. You’ll need to make sure the missing work item is included in a work source for the plan’s scope.

To add or change the work in your plan:

  1. Next to your plan’s name in the sidebar, select More actions (•••), then Plan settings.

  2. Go to the Work in your plan page, and select Edit plan scope. Use the menus on this page to add a projectboard, or filter that contains the work items you want to see in your plan.

  3. When you’re done, select Save to update your plan scope.

By default, all work items from these sources are included in your plan. After the plan is created, you can remove work items individually from your timeline or based on rules. How to trim your plan scope

Work item was removed from the plan’s scope

By default, your plan contains all work items from the projects in your plan scope. You can create rules to remove work items based on:

Plans users can also remove work items individually from the timeline.

You can either adjust these rules to re-add missing work items or re-include work items that were removed individually.

Work item is included in archived release

Work items that are part of archived releases will be excluded from your timeline. There are two ways to fix this.

One is to reschedule work items from an archived release to an active one.
